Milestone coordinated the national Digital Ocean Conference, as well as a marine industry trade show and networking event on behalf of the Irish Maritime Development Office and the Marine Institute. The conference was run in conjunction with Seafest and the more policy focussed ‘Our Ocean Wealth’ conference. Both the conference and exhibition were aimed at SMEs, start-ups and research institutes in the digital ocean field. The event attracted 500 delegates and the trade show housed 70 exhibitors. Milestone’s remit in delivering both elements of the event included the following:


  • Issuing invitations and registering all conference delegates.
  • Using Eventbrite to capture delegate information and send out pertinent information and updates to those registered
  • In depth venue liaison with NUIG in relation to set-up, layout, catering and insurances
  • Collation and design of conference packs, including speaker bios, conference programme, exhibition prospectus, delegate lists, lanyards & badges and stakeholder literature (examples attached as appendices)
  • Design and print of all conference branding and backdrops
  • Sourcing, liaising and scheduling all third party suppliers e.g. AV, furniture, stages & podiums, venue dressing
  • Facilitating speakers accommodation and transport arrangements
  • Event photography and videography
  • Front of house staffing
  • Event-time scheduling, keeping the day to time.


Trade Show:

  • Use of online survey software to registered exhibitors and gather information both for publication and in relation to their logistical and technical requirements
  • Build and strike of a 30 x 50m marquee in the grounds of NUIG
  • Associated event management plan, with risk assessments, method statements etc
  • Sourcing, liaising and scheduling all third party suppliers e.g power, dressing, plant machinery, AV
  • Internal floorpan and allocation of exhibitors according to specific requirements
  • Catering for over 600 people
  • Implementing high speed Wifi in the marquee without an existing broadband connection
  • Facilitating speeches and presentations during the networking lunches
  • Design and print of all branding and way-finding signage
  • Incorporating the needs and activations of partner organisations and event sponsors
  • Providing full front of house staffing
